Who we are.

The Mission Hills Town Council (MHTC) is a local, non-profit community organization located in San Diego, CA in the United States. Our website address is: https://www.missionhillstowncouncil.org .

What personal data we collect and why we collect it.

Data Collected to Manage Your Membership

At checkout, we will collect your name, address, email address, phone number, username, and password. This information is used to setup your account for our site. If you are redirected to an offsite payment gateway to complete your payment, we may store this information in a temporary session variable to setup your account when you return to our site.

At checkout, we may also collect your billing address and phone number. This information is used to confirm your credit card. We do not keep your credit card information stored on our site or servers – credit card information is handled by our third party merchant processor.

Contact & Newsletter forms

When visitors submit forms on the site, we collect the data shown in the form, and also the visitor’s IP address and browser user agent string to help spam detection. Your IP address and browser data may also be sent to Google’s Recaptcha service for SPAM detection to determine if you are a human or a bot.

The information you submit as a part of a form will be used for MHTC to either contact you and/or process your request to join the MHTC newsletter. Any information and media submitted are temporarily stored on our hosting server while we contact you and/or process your request.

Media

If you upload images to our server as a part of your submission, you should avoid uploading images with embedded location data (EXIF GPS) included. Information can be extracted regarding location data from images. We do not require EXIF GPS data to provide our services, and this information may be removed from your photos prior to upload.

Cookies

We use cookies to improve your experience in interacting with our site. As our site does not allow comments, or publishing, cookies contain no personal data about you, and will auto-expire.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

We use cookies to compile aggregate data about site traffic and site interaction so that we can offer better site experiences and tools in the future. We may contract with third-party service providers to assist us in better understanding our site visitors. These service providers are not permitted to use the information collected on our behalf except to help us conduct and improve our business.

This site may include embedded content (e.g. videos, images, articles, etc.) from other sources. Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics

We use Google Analytics and Wordfence to better understand the traffic coming to our site. The information used make include your IP address, general geo-location, browser information, operating system information, and other non-identifiable data. We use this information to provide site services and to improve the user experience on our site.

Who we share your data with.

If you submit a contact form and/or order form, we do not share your contact information with third parties at any time.

We may share analytics data (browser and operating system type, your general location area, etc) with third party providers, such as Google Analytics, to process and understand the data. We do not share personally identifiable information with third parties.

How long we retain your data.

For users that submit a form on our website, we store the personal information they provide in their form submission. This information is automatically purged from our servers within 6 months of your submission. Website administrators can also see or delete that information at any time.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data.

If you have submitted a form on our site within the past 6 months, or have a current/past membership with login, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Please note that requests to purge personal data for an active membership will result in your membership being terminated to fulfill your request.

Where we send your data.

Your submissions may be checked through an automated spam detection service as well as analytical data sites. Credit card and/or other payment information may be sent to our merchant processors to process your donation and/or membership payment.

Additional information

How we protect your data

Your data is stored in a secure location on our servers that is only accessible by our site administrators. We employ the use of advanced firewall technology to protect our site and your data from malicious users, and to prevent unauthorized access.

What data breach procedures we have in place

Should a data breach be identified, our first priority is to secure our site to prevent further unauthorized access. We may employ the use of third party IT security companies to understand a breach and how to further harden our server to prevent future access my malicious users. We will then attempt to notify any parties that may have been affected by such a breach.

What third parties we receive data from

We utilize Google Analytics for website analytical data, and Google Recaptcha for SPAM prevention detection. Wordfence provides website security services. Stripe and Paypal provide merchant processing services for our site. Any of these sources may provide data to us for the purposes of conducting business and streamlining website services.

What automated decision making and/or profiling we do with user data

The only automated decision making that is conducted on our site is the determination if a visitor is a bot or a human, for the purposes of SPAM prevention. This is done via Google Recaptcha.
